Pomodoro Technique

  1. Decide on the task to be done.

  2. Set the pomodoro timer (typically for 25 minutes).[1]

  3. Work on the task.

  4. End work when the timer rings and take a short break (typically 5–10 minutes).[5]

  5. If you have finished fewer than three pomodoros, go back to Step 2 and repeat until you go through all three pomodoros.

  6. After three pomodoros are done, take the fourth pomodoro and then take a long break (typically 20 to 30 minutes). Once the long break is finished, return to step 2.

Step 1: Get clear on your Spring Clean dates First, determine the extent of your inbox backlog by finding the oldest email in your inbox. Be warned, you may get a shock! Next, decide the start and end dates for your spring clean. The start date will be the same as the oldest email in your inbox (just the month or year is fine). The end date is the day before the oldest email you want to leave in your inbox. For example, if it's July 1st and you want to leave all emails from the last month in your inbox, your end date would be May 31st.
Step 2: Perform the Spring Clean search You’ll make use of the advanced search feature in your email tool to locate the emails you want to spring clean. I recommend searching and spring cleaning year by year, starting with the year of the oldest email in your inbox. This avoids potential performance issues with your email tool when you try to move or archive too many emails at once.
Step 3: Get the emails out of your Inbox You’ve got two choices for getting the emails out of your Inbox: Move the emails into year-based labels (Gmail) or folders (Outlook). Archive the emails. In Gmail, they’ll be located in All Mail and in Outlook, they’ll be located in the Archive folder. No matter what method you choose, the emails will still be in your email account and you’ll always be able to find them using search.
